ATURAN PENDAFTARAN FILEM
Tata Cara Mendaftarkan Filem Anda ke ARKIPEL Jakarta International Documentary & Experimental Film Festival. (Seluruh Jadwal termasuk di dalamnya Jam, Hari, dan Bulan akan mengikuti tahun berjalan dan edisi penyelenggaraan arkipel secara reguler).
1. Umum
1.1. TENTANG FESTIVAL.
ARKIPEL adalah bagian dari program dari Forum Lenteng. ARKIPEL akan bertempat di Jakarta pada bulan Agustus.
1.2. PENDAFTARAN DAN TENGGAT WAKTU.
Filem yang didaftarkan ke ARKIPEL terbuka untuk filem dokumenter, filem eksperimental dan/atau dokumenter dengan inovasi visual. Filem yang didaftarkan tidak ada batasan durasi. Peserta aplikasi terbuka boleh mengirim lebih dari 1 filem.
Biaya pendaftaran GRATIS. Filem-filem yang didaftarkan ke festival filem ARKIPEL antara lain:
* Filem dokumenter dan eksperimental,
* Filem produksi seluruh dunia.
Tenggat waktu pendaftaran:
31 Maret 2020, Pukul 23.59 WIB.
1.3. FORMAT PENAYANGAN.
DVD dan file video digital dengan ekstensi QuickTime .mov (video codec Apple Pro Res/H.264). Hanya untuk filem dengan proyeksi satu kanal saja.
1.4. KEBIJAKAN BAHASA.
Filem-filem yang diputar harus dalam bahasa aslinya. Pada prinsipnya jika filem tidak dalam bahasa Inggris, maka harus diberi subteks bahasa Inggris dengan mengirimkannya melalui kolom yang tersedia di formulir pendaftaran.
1.5. IZIN PENGGUNAAN KARYA.
ARKIPEL menerima karya-karya yang dikirim sepanjang penyelenggaraan festival dan dengan ini mengajukan permohonan untuk menyimpannya di Arsip ARKIPEL, Perpustakaan Forum Lenteng, dan situs www.arkipel.org.
2. Kompetisi
2.1. PENGHARGAAN ARKIPEL.
Diberikan kepada filem dokumenter dan/atau eksperimental yang diputar dalam kompetisi utama. Pemenang dipilih oleh anggota juri.
2.2. PENGHARGAAN KHUSUS.
Diberikan kepada filem dokumenter dan/atau eksperimental yang diputar selama festival. Pemenang dipilih oleh komite Festival.
3. Materi Screener untuk Preview
3.1. MATERI PENAYANGAN.
Pihak pendaftar diminta untuk mengirimkan DVD Screener atau tautan halaman internet yang online untuk panitia dapat menonton filemnya beserta password jika dibutuhkan. Filem yang didaftarkan haruslah yang sudah selesai diproduksi. Tak ada batasan jumlah filem yang bisa didaftarkan masing-masing peserta.
(Harap diingat, bahwa DVD Screener tidak akan dikembalikan)
3.2. ALAMAT.

4. Filem Terpilih
4.1. PENGUMUMAN.
Filem terpilih akan diumumkan melalui email pendaftar dan di situs www.arkipel.org pada bulan Juni.
4.2. KATALOG FESTIVAL.
Untuk kebutuhan penyusunan katalog ARKIPEL, untuk setiap filem terpilih, maka panitia harus menerima materi penayangan ke alamat yang telah disebutkan pada poin 3.2. Materi penayangan tersebut harus dikirimkan ke panitia segera setelah Pendaftar menerima undangan resmi dari ARKIPEL, paling lambat 30 Juni 2020.
ARKIPEL tidak bertanggung jawab apabila nantinya terdapat ketidakakuratan dalam publikasi karena kesalahan dalam fase pendaftaran materi yang dibutuhkan (baik materi publikasi maupun materi penayangan). Isi penulisan kuratorial program adalah kewenangan sepenuhnya panitia penyelenggara ARKIPEL.
4.3. KREDIT KATALOG.
Pada prinsipnya katalog ARKIPEL akan menyertakan kredit teknis dan artistik sebagai berikut: judul asli, judul internasional, nama sutradara, durasi filem, negara asal, tahun produksi, status premier, format, perusahaan produksi filem, nama produser, dan agen penjualan dan distribusi filem.
4.4. PRESS KIT.
Pendaftar yang filemnya terpilih untuk berpartisipasi diminta untuk mengirimkan perangkat promosi (press kit elektronik) dalam jumlah yang memadai, serta still photo untuk kepentingan konferensi pers dan untuk didistribusikan ke wartawan serta tamu festival.
4.5. TRAILER DAN CUPLIKAN FILEM.
Setelah pendaftar dinyatakan terpilih untuk ikut serta dalam ARKIPEL maka pihak panitia berhak menggunakan cuplikan dari filem, maksimal selama 3 menit untuk kepentingan promosi nasional dan internasional (untuk filem pendek di bawah 40 menit, maka total durasi cuplikan tidak akan melebihi dari 10% dari durasi filem keseluruhan).
4.6. STILL PHOTO.
Untuk kepentingan promosi keseluruhan program yang dipilih, maka halaman situs internet ARKIPEL berhak menggunakan still photo dari perangkat promosi atau cuplikan filem (maksimal 3 menit).
4.7. JADWAL PENAYANGAN.
Penentuan jadwal dan waktu penayangan filem untuk publik dan pers sepenuhnya wewenang panitia penyelenggara ARKIPEL.
4.8. PEMBATALAN.
Filem yang terpilih untuk ditayangkan tidak dapat ditarik keikutsertaannya dalam program festival setelah 1 Juli.
5. Pengiriman Materi Penayangan Filem yang Terpilih
Informasi detil tentang pengiriman materi penayangan untuk filem yang terpilih untuk ditayangkan di ARKIPEL.
5.1. KETERSEDIAAN MATERI PENAYANGAN.
Materi penayangan harus tersedia untuk keseluruhan periode penyelenggaraaan festival filem ARKIPEL dan harus sudah tiba di sekretariat panitia (seperti yang tercantum dalam poin 3.2) sebelum 20 Juli (Cap Pos). Partisipan diwajibkan untuk memberitahu ke panitia penyelenggara tentang tanggal pengiriman dan nomor airway bill.
Jika panitia penyelenggara harus mengirimkan lagi filem partisipan ke festival filem lainnya maka kewajiban partisipan untuk menginformasikan kepada dua festival yang berhubungan ini tentang alamat pengiriman yang jelas dan benar berikut semua detil pengiriman.
5.2. KEBIJAKAN PENGIRIMAN.
Filem yang dikirimkan oleh partisipan adalah atas biaya partisipan sendiri, kecuali ada perjanjian khusus sebelumnya dengan pihak panitia penyelenggara ARKIPEL. Biaya pengiriman kembali untuk materi fisik (hardrive eksternal, flash drive. kecuali dalam bentuk DVD tidak akan dikembalikan untuk keperluan database) akan ditanggung juga oleh pihak panitia, tidak termasuk biaya pajak dan bea ke tempat pengiriman sesuai tarif yang berlaku di masing-masing lokasi pengiriman.
5.3. PENGEMBALIAN MATERI PENAYANGAN.
Semua materi penayangan dalam bentuk Hard/Flash Drive Eksternal (kecuali dalam bentuk keping DVD dan BluRay) akan dikembalikan ke partisipan atau pihak yang ditunjuk oleh partisipan dalam jangka waktu paling lama delapan minggu setelah penyelenggaraan festival berakhir. Kewajiban tiap partisipan untuk menginformasikan pada panitia penyelenggara festival detil alamat pengembalian dan tanggal pengembalian.
6. Penutup
Seluruh ketentuan untuk berpartisipasi dalam festival filem ARKIPEL yang telah disebutkan di atas berlaku tanpa syarat. Untuk kasus-kasus tertentu, setiap keputusan akhir adalah kewenangan pihak penyelenggara.

FILM SUBMISSION REGULATIONS
Rules and regulations for film submissions to ARKIPEL Jakarta International Documentary & Experimental Film Festival. (The entire schedule including the Hour, Day and Month will follow the current year and the organizing arkipel in regular basis).
1. General.
1.1. ABOUT THE FESTIVAL.
ARKIPEL International Documentary and Experimental Film Festival is a part of Forum Lenteng program. ARKIPEL takes place in Jakarta, on August.
1.2. SUBMISSIONS AND DEADLINES.
Submission to the Festival is open to short and feature length documentaries, experimental documentaries and innovative visual documentary productions. Applicants can submit more than 1 film.
Submission fee is FREE. Films submitted to ARKIPEL are:
* Documentary and experimentals,
* Worldwide film productions.
Deadline for entries:
31 March 2019, 23:59 (GMT +7).
1.3. SCREENING FORMATS.
DVD and digital video file with QuickTime .mov extension (Apple ProRes/H.264 video codec). Only for single channel film projection.
1.4. LANGUAGE POLICY.
Films are screened in original language versions. In principle, if not with English dialogue, films must be subtitled in English. In case the original spoken language is in English but the subtitle is not embedded yet on the film, please upload the subtitle transcription in the column provided in the entry form.
1.5. PERMISSION.
ARKIPEL receives one or more works by director during festival and would like to ask for your permission to include them in ARKIPEL Archive, Forum Lenteng Library, and website www.arkipel.org.
2. Competitions
2.1. ARKIPEL AWARD.
Awarded to documentary and experimental films which compete in main competition and chosen by jury members.
2.2. SPECIAL AWARD.
Awarded to documentary and experimental films which screened in Festival and chosen by Festival committee.
3. Preview screeners and materials
3.1. REQUESTED MATERIALS.
The applicant is requested to send either a DVD screener or an online preview of the film. The film submitted must be a finished work. Each participant may submit as many films they have.
(Please note, that the DVD Screener will not be returned.)
3.2. ADDRESS.

4. Selected films
4.1. ANNOUNCEMENT.
Selected films will be announced through registered email and on the Festival website www.arkipel.org between June.
4.2. FESTIVAL CATALOGUE.
In order to compile the ARKIPEL Catalogue, for each selected film the Festival must receive a duly completed entry form and requested materials as stated in paragraph 3.2. The requested materials should be sent/submitted as soon as possible upon acceptance of the official invitation, not later than 30 June.
The ARKIPEL accepts no liability in the event that its publications reproduce inaccuracies in submitted materials. The written programme notes are entirely at the discretion of the Festival.
4.3. CATALOGUE CREDITS.
In principle the catalogue will include the following technical and artistic credits: original title, international title, director, running time, country(ies) of production, year of production, premiere status, format, production company, producer, and distribution company/world sales.
4.4. PRESS KITS.
The owners of the films participating in the ARKIPEL are requested to send separately an adequate amount of press-kits (EPK-Electronic Press Kit) and stills to be made available for Press Conferences and for distribution to the press and festival guests.
4.5. TRAILERS AND EXCERPTS.
After official selection of a film the ARKIPEL is qualified to use excerpts from the film, with a maximum of 3 minutes, nationally and internationally for promotional purposes (for short films, the total duration of the excerpts is not to exceed more than 10% of the film’s running time).
4.6. STILLS.
For promotion of the whole selection and of each selected film, the ARKIPEL website is allowed to use any photo or digital film clip (of less than 3 min. duration).
4.7. SCREENING SCHEDULE.
General scheduling and the timetabling of the public and press screenings are entirely at the discretion of the ARKIPEL.
4.8. WITHDRAWAL.
A selected film cannot be withdrawn from the programme after 1 July 2020.
5. Dispatch of the film material of selected films
Detailed shipment information of the selected films screened at ARKIPEL.
5.1. MATERIAL AVAILABILITY.
Unless authorized by the Festival, the film material must be made available for the whole festival period and the print/video must arrive in Indonesia before 20 July 2020. The sender is requested to inform the Festival on the means of dispatch, date of shipment and Airway bill number.
In case the Festival will share the film material with another festival it is the responsibility of the participant to inform both festivals of correct shipping addresses and all contact details.
5.2. SHIPMENT POLICY.
The film must be sent prepaid by sender. No collect shipments are accepted unless authorized by the Festival. The Festival will pay for the return transportation charges of film materials (external hard drive or flash drive). Except the material on DVD and Blu-Ray will not be returned for archiving purpose), excluding any additional costs for tax and custom clearance in country of return.
5.3. RETURN OF FILM MATERIALS.
All film materials in the form of Hard/Flash Drive External (Except on DVD and Blu-Ray) will be returned to participant or apppointed representative within eight weeks after the Festival. It’s the responsibility of each participant to inform the Festival in due time on (any change in) the details of the return address as well as the desired date of arrival at the return address.
6. Closure
Entry and participation of films implies unconditional acceptance of the regulations. In unspecified cases, any final decisions are at the discretion of the festival.
